Freshman Parent Meeting Follow UP
|
If you missed our Freshman Orchestra parent meeting last week, this is the information we gave out and discussed.

Fun Night Update
After much consideration, we have decided to delay "Fun Night" which was scheduled for Thursday, September 9. When we originally scheduled Fun Night, Homecoming wasn't on the schedule.
Now, it seems inappropriate to have Fun Night as the exact same time as FIRE FEST (taking place in the student parking lot from 7-9pm). We don't want students to have to choose between these two great events. Go have fun at Fire Fest, and we'll reschedule Fun Night for another time.
FRESHMAN PARENTS: We will still have the parent meeting from 5:45-6:15PM in the Orchestra Room on Thursday, September 9th. We hope to see you there!

Mattress Fundraiser Meeting Follow Up
Free State Music Parents and Students,
Thanks to everyone who was able to join the Zoom call last Wednesday - we have already raised $375 toward the fundraiser based on your participation in the parent meeting! Below is some additional information along with a few action items for all parents of Band and/or Orchestra students, whether you were able to join or not.
Our 7th Annual Mattress Sale Fundraiser is on Saturday, May 1st. There are just a few weeks to promote the event - so please tell your friends, family, neighbors, and coworkers about the sale.
Quick overview: On May 1st we will have a mattress showroom set up at Lawrence Free State HS from 10 a.m. to 5 p.m. There will be 30 floor models on display for customers to try. All models come in all sizes, are made to order, and come with factory warranties. Pillows, adjustable power bases, sheets, frames, and mattress protectors will also be available. Delivery and haul away are available. Best of all, prices will be 30-50% less than retail stores because of the fundraising company's unique business model. All forms of payment are accepted, and there will be financing available with interest-free promotions!
Below are a few things we need EVERYONE to do. It'll take just 5 minutes of your time.
1. If you're not familiar, watch this brief YouTube video that explains the fundraiser: https://www.youtube.com/watch?v=h_pQ6O8aVus
2. Text Sleepy FIREBIRD to 797979<tel:913-210-0550> to be added to the event text line, and receive special promotions
3. Visit the Facebook event page, list yourself as "Interested" or "Going" and then use the Invite function to share with all of your friends! https://fb.me/e/JTnOPH4V
4. Share the attached flyer by email, text, or handing out print copies
Remember, we aren't selling, collecting money, delivering or filling out order forms... just promoting!
Because we understand not everyone in this group will be in a market for a new bed right now, this event relies on heavy promoting to your personal network. We need everyone to find at least two people who need to replace a bed in their home and ask them to come to the event. One of every 10 adults in the U.S. will buy a new mattress each year, so you know a lot of people who are planning to do so - you just need to talk to them!
The money raised helps fund the music program, and individual student accounts will be credited based on the number of purchases referred by each student:
* 1 referral buys a bed = $25
* 2 referrals buy beds = $50
* 3 referrals buy beds = $100
* 4 referrals buy beds = $150
* 5 referrals buy beds = $200
+ $50 each for all additional referrals
Thank you for your support!

Mattress Fundraiser Information
Orchestra Parents and Students:
We will be hosting our 7th annual Free State Orchestra Mattress Sale Fundraiser on Saturday, May 1st. Proceeds from the fundraiser will help us pay for awards we will be giving out at our May 11th concert. registration fees for the KSHSAA Small Ensemble Festival, and for field trips we have planned for next school year. We have had a lot of success with this fundraiser in the past, and are excited for another year!
To get this event started, I'd like to ask each of you to attend a short meeting via zoom on Wednesday, April 7, 2021 from 7:00-7:30PM. BONUS! We receive an extra $5 for every parent that shows up to our meeting (limit: 1 bonus per family). Check your email and the Google Classroom Stream for the link to the Zoom meeting.
How does this fundraiser work? The fundraising company will bring a mobile mattress showroom to our school with about 30 floor models for customers to try. When a customer finds a bed they like, they can buy it at the event, and it will be ordered brand new. ALL PRODUCTS ARE NEW, available in all sizes, and cost less than retail stores. Brands include Simmons, Therapedic, Southerland, Wellsville, and Intellibed. In addition to beds, there will also be premium pillows, sheets, weighted blankets, and adjustable power bases! Financing and layaway are available.
What do we need to do? ALL WE HAVE TO DO IS PROMOTE! 1 in 4 families will replace a bed in their home this year, we need each Orchestra member and family to find at least one person who is in the market for a mattress and our event will be highly successful. Our students and parents will NOT be selling, filling out order forms, collecting money, or delivering anything! But we need to get the word out to make the fundraiser a success.
Why is promoting so important? Most people go to a store to buy a mattress. We NEED our Music families to let the community know that they can come here on May 1st to get a mattress. Take a little bit of time to talk to people at work, church or with your family and neighbors. You won't believe how many people are currently planning to replace a bed in their home. It’s important to start talking about it now so that people will hold off their purchase until our event rolls around! It’s a unique opportunity for them to buy something they need while also supporting our program. Personal referrals drive 90% of the sales at our event, so your participation is critical to our success.
Here’s a link to the Facebook Event page. If you're on Facebook, please mark yourself as “Going” or “Interested” and start sharing with your friends!

Thank you so much for making the time to support your students and our program! We're looking forward to doing some exciting things in the coming months and next year!

KMEA All-State Orchestra
Congratulations to our Free State Orchestra members who were selected for the 2021 Kansas All-State Orchestra. I am so very proud of these students who worked so very hard during such difficult times to participate in an ensemble that will not perform or rehearse in person. In the coming weeks they will attend virtual rehearsals, and will then create their own recording and videos that will be used to create a virtual performance to be aired on Saturday, February 27th, and Sunday, February 28th. Congratulations on this fantastic honor!!! https://ksmea.org/hsorchestra/roster/
1st Semester Orchestra Concert
It's the eve before our 1st Semester Orchestra Concert, and as promised, I have all the information you'll need to tune in.
- Here's the link to our concert program: https://drive.google.com/.../1djcA58nsECMamzAe2D5.../view.... This document includes the titles of the pieces we will be performing, the ensembles performing, performance times, and ensemble members performing in person.
- Here is the link for the live feed to our auditorium. This link will be live all evening (even between performances). So don't be confused if you happen to tune in a bit early and there isn't an ensemble yet on the stage. Don't worry, we'll be there Here's the link: https://justagamelive.com/.../lawrence-free.../live/13305
-Finally, I want to invite those students who could not attend and perform in the concert in person, to consider joining by playing along with one of the ensembles on the live stream. This would be a fantastic way for parents to hear and see their student play what they have been working on, and for students to play along virtually with some of the members of the orchestra program here at Free State. To make this as successful of an experience as possible, make sure you have your video streaming through speakers that can produce enough sound for you to hear both the student playing at home, and the ensemble at Free State in equal balance

2020-21 Placement
Students:
Please see the attached documents for next year's placement. PLEASE NOTE THE 2nd PAGE of EACH ENSEMBLE, as this page has something new. In anticipation of the potential for social distancing rehearsals and performance, we have selected special chamber ensembles for this type of setting. Please keep this in mind as a possibility for next year in regards to orchestra and the size of our ensembles.
Unfortunately, the Cello Ensemble Class idea came up just short of enough people interested. So, we will have to deal with extremely unbalanced Philharmonic and Concert Orchestras. Cellos, we will need to ask for your patience and understanding with this challenging situation next year. However, we were able to create mini cello chamber ensembles within each orchestra for the social distancing chamber groups.

School Cancellation UPDATES
Students and Parents,
I write this, with the deepest sadness. Please accept my apologies on what I feel has been a delayed response on my part. Personally, this has been a struggle to process, and with my own high school junior at home, there have been many sad and tearful moments at home.
In these uncertain times, I hope you all are able to find moments of gratitude and peace, and maybe even possibly see how music can help us deal with the issues facing us today.
Currently, I have more questions than answers (as I'm sure you're most likely feeling the same), but here is what I can help with now:
1. TOMORROW is the ONE chance you might have to get an instrument to play for the rest of the year. If your instrument is currently in the orchestra room, PLEASE PLAN TO COME TO SCHOOL TOMORROW from 8:00 A.M. - 11:00 A.M. ONLY TO PICK UP AN INSTRUMENT TO USE FOR THE REMAINDER OF THE YEAR. THERE IS A POSSIBILITY THAT WE WILL GO TO SOME SORT OF ONLINE PLATFORM FOR THE REMAINDER OF THE SEMESTER. At the very least, I would like to work on making some sort of online performance of our Farewell Symphony to honor our seniors who deserve all our love during this incredibly challenging time.
2. A date will be announced for instrument and orchestra uniform turn in at some point in May. Please make note when this date is announced. I anticipate something in very late May.
3. As you know, all live-in person classes for the remainder of the year have been cancelled. This means that all events planned for the remainder of the year have also been cancelled. This includes: Area Concerts, Solo/Small Ensemble Festivals, The Worlds of Fun Festival of Music, State Large Group Festival, and our May Awards Concert.
4. Right now, my number one priority is honoring our seniors. I will soon be in contact with all seniors to schedule doing individual photos as a substitute for our traditional photo of the orchestra senior class. I'm planning to visit each of you in your home to do this, if you will allow. In addition, I plan to send out a google file with the music for the Farewell Symphony for students to practice. My hope is that we can do some sort of online performance of this Free State Orchestra tradition. Furthermore, seniors you can expect a future email with a link to a google slides file for you to add your baby photos/senior photos, and future plans to be put on so that it can be included in our online concert. I've never done this sort of performance before, so I ask for your patience and understanding. Please know this is a top priority for me as my heart is breaking for these amazing young people that I have been privileged to teach for the past four years. Making music with them has been one of my greatest joys and I'm devastated to have it come to such an abrupt ending.
In closing, I will be in the orchestra room TOMORROW Wednesday, March 18, from 8-11 am to help you with instruments and music you may need. I'm positive I've missed many important details, please anticipate more messages from me.
If you have questions, please feel free to give me a phone call.
Missing you all so very much!!!

Regional Solo Small Ensemble Cancelled
Small Ensemble Showcase Concert - Tuesday, March 3, 2020
SeThis concert is a bit different than our others as it features our small ensembles work that our students have been working on for the past 2 months, and it will include a dessert reception in the commons during the performances. Your students have been assigned a specific block of time to perform on this concert, based on requests they made. Please see the attached program with the schedule of performances of the evening, along with students names.
In addition, every student has been asked to bring a dessert to share for the reception. Please make sure your student brings their dessert that will feed 6-12 people during the school day Tuesday BEFORE 4:00 p.m. All students are required to attend the entire "session" they are performing in as an audience member, and must work an additional "session" doing tasks they signed up to do in association with the reception, and concert set up/clean up.
We hope this will be a fun night for our students and you our guests. We'll be keeping things casual by performing in the commons. Students will be wearing their orchestra t-shirts and jeans instead of concert black, and we should have a nice selection of refreshments for everyone to enjoy. We hope that you can make it to a portion of our event. Please note audience members are not expected to stay for the entire evening, rather just the session that their student is performing in. See our program below:

It seemed like a good time to send out information with some reminders and updated information on our trip, as it has been some time since we last met or been in contact. Please know we are discussing the trip and relevant information in class regarding when payments are due. Hopefully your student has been communicating with you as that has been my expectation. I try very hard to only send out emails and notifications when it is absolutely necessary so I won’t overwhelm you with information. I’ve attached the original registration form you were given back in January for reference in case it has been misplaced. Here are several items worth noting as we continue to progress.
1. As a reminder, our FINAL CANCELLATION date was back in May 2018. What does this mean?
We only have two payments remaining:
2. The TOTAL trip balance in your students account must be paid by November 15th, we cannot give extensions as final payment for all activities on the trip is due for us from all vendors in LA.
3. At this point, all fundraising monies and scholarships have been applied to all students’ accounts and are reflected in the balance due.
4. If you have questions regarding the balance due, payments made, fundraising or scholarship monies on your students account you can contact the Free State Financial office and speak to Michelle Thornton for that information. I do not have access to current balances, and unfortunately cannot help with this. You can also look at your students’ balance through Power School, although I’m not sure how this is done, and haven’t been trained on how give instructions to complete this action on Power School.
5. Please plan for a trip meeting following our Fall Concert on Thursday, October 18th. This will be a very valuable meeting and lots of information will be covered. Your attendance is strongly recommended. Items to be discussed:
6. We will have one last trip meeting following our Winter Pop’s Concert on Tuesday, December 18. Attendance for students going on the trip is required for this meeting. Information to be discussed:
7. In case you’ve forgotten the dates for the trip:
Sorry for the super long message, but hopefully you now all feel up to date and current with our trip.
Thank you!!!

1. As a reminder, our FINAL CANCELLATION date was back in May 2018. What does this mean?
- May 15, 2018 was the LAST date you could have canceled your students’ enrollment for the trip and receive some of the monies back that had already been paid to date. At this point in September, if you were to cancel you would still be obligated to pay the full trip amount regardless if your student attends or not. Deposits for the hotel, airline, and several activities have already been paid for and we cannot be refunded.
We only have two payments remaining:
- October 15 = $200
- November 15 = still projected to be approx. $150 or less, we will know this final amount by November 1st.
2. The TOTAL trip balance in your students account must be paid by November 15th, we cannot give extensions as final payment for all activities on the trip is due for us from all vendors in LA.

- Hotel Room Request Form Completion and discussion
- Instrument Transportation
- Spending money needed for trip (food, souvenirs, etc…)
- Q & A time
6. We will have one last trip meeting following our Winter Pop’s Concert on Tuesday, December 18. Attendance for students going on the trip is required for this meeting. Information to be discussed:
- Room Mate assignments
- Chaperone assignments and introductions
- Meeting time with chaperone, roommates, and travel group to set up communication groups.
- Hand out of uniform kit (if it has arrived)
- Packing list
- Expectations contract
- Final Itinerary
- Q & A with travel agent
- Ensemble rehearsal dates for January
7. In case you’ve forgotten the dates for the trip:

Pop's Concert rescheduled due to school cancellation
POP'S CONCERT RESCHEDULED!! Due to school cancellation for in-climate weather we must reschedule our Pop's Concert. Students, parents, and patrons please plan for our concert to now be on Monday, February 26th at 7:00pm. We now have a later start time to accommodate student athletes who will be starting spring sports practice on Monday. Coaches will be made aware of the concert change and should allow students out of practices in plenty of time to make concert call times.
With all the snow/ice days I’ve certainly had my work cut out for me on getting the schedule adjusted. Now with having our schedule during the school day tomorrow ran as a block Thursday I must once again readjust. Please know I hate all these changes and I apologize for any confusion it might cause. I’ll try to be as clear as possible.
FOR THE CONCERT:
Concert begins at 7:00pm THIS MONDAY, February 26th
CALL TIMES FOR THE CONCERT:
Symphonic Orchestra – 6:00 in the Band Room
Philharmonic Orchestra – 6:15 in the Band Room
Concert Orchestra – 6:15 in the Orchestra Room
Freshman Orchestra – 6:30 in the Band Room
Please make sure your students are in their seats ready to rehearse at the times listed above. Dress code for this concert is the mint green orchestra t-shirts with either jeans or slacks.
SPECIAL COMBINED REHEARSALS TOMORROW DURING CLASSES:
1st hour from 8:50-9:40 SYMPHONIC & CONCERT ORCHESTRA COMBINED (Concert Orchestra students should leave their normal 1st hour at 8:45 and stay with orchestra for the remainder of 1st hour) This is during the normal Symphonic Orchestra meeting time.
5th Hour from 11:30-12:15 FRESHMAN & PHILHARMONIC ORCHESTRA COMBINED ( Freshman students should report to 5th hour for orchestra, attend 2nd lunch if their normal 5th hour has 1st or 2nd lunch. Students should return to their normal 5th hour at 12:20 if they normally have 3rd lunch).
5th hour from 12:15-1:05 PHILHARMONIC & SYMPHONIC ORCHESTRA COMBINED (Symphonic students should report to their normal 5th hour class at the start, then leave at 12:10. Students will stay with orchestra until the end of 5th hour and will take 3rd lunch):
Thank you so much for your patience, I promise these combined rehearsals and call times are necessary in order for us to have a successful performance for the concert, especially since we haven’t seen some classes in over a week. This should be a very enjoyable concert, I hope to see a great crowd for these hard working kids!!!
Thank you,
Judy Erpelding
Director of Orchestras, Free State High School
We are so sorry for any inconvenience the change of schedule might pose, student safety is definitely our first priority. Cancelling the concert is certainly not an option as students have been working incredibly hard 9 weeks on this literature, and this concert is also an audition for us to apply to perform at Disneyland and Universal Studios next year, making the reschedule even more critical.

1. Talk to people. 90%+ of the people who buy a bed will be a word of mouth referral. People are always eager to support our students and if we simply let them know that all they have to do is buy something they were going to buy anyway (while saving money) why wouldn't they come check it out?
2. Text messaging is a very effective way to promote. Text FIREBIRD to 913-210-0550. Once you receive the automated reply, please copy and paste / forward it to at least 10 people. It's always helpful to send a picture so take a picture of the flyer with your student's name on it.
3. Forward the emails that you have, and will continue to, receive. How much time does it take to forward an email? Think of how many people you could reach in one minute.
4. Take promo material to work / school / church or any other social gathering places!
5. Social Media. Here is the Facebook Link: -- JOIN and INVITE your friends! https://www.facebook.com/events/289277668119506/

Pre-Festival Concert Scheduled for Thursday, March 31st is CANCELLED!!!!
VERY IMPORTANT!!! Attention ALL PHILHARMONIC & SYMPHONIC STUDENTS and FAMILIES: We are CANCELLING the "PRE-FESTIVAL CONCERT" scheduled for NEXT THURSDAY, March 31st. Please talk to your students as to why we made this decision, as they played a crucial role in making this change (this was definitely a positive situation). Look for an invite on Facebook, our web site, and twitter to the State Large Group Festival for an opportunity to her these pieces performed. Thank you for your continued support of these young musicians!
If you're in Symphonic or Philharmonic Orchestra, tonight would be a WONDERFUL time to practice contest music (March to the Scaffold, "Nimrod", Molly on the Shore, and Heart Wounds). We have a sprint to our concert next week and I need everyone to be on their "A" game!!!
Orchestra Fundraiser this Wednesday Night - February 24th 5:00-8:00
Please take a look at the flier below for our fundraiser at Chick Filet this Wednesday night, and share with anyone that might be interested. As a teacher and parent I am committed to not requiring fundraisers that send our students going door to door selling products. Rather, I hope to provide opportunities using students time or talent, or events such as this that only solicits those who truly want to support our group. This fundraiser will provide money needed to send our students to the KSHAA Solo/Small Ensemble Regional and State Festivals, and will also pay for awards given at the May Recognition Concert. I hope each family might consider having dinner out for a night to help support our program.
Concert and Trip Meeting Tomorrow
Just a reminder that we have our Mid-Winter Concert tomorrow night (Tuesday, February 23rd), for CONCERT, PHILHARMONIC, and SYMPHONIC Orchestras (not Freshman), at 6:30. Please note the earlier start time than normal. Students call time is 6:00pm. Immediately following our concert will be a meeting for students going on the New Orleans trip. All students, and at least one parent/guardian for each students should be in attendance. The meeting will take place in the commons area, on the northeast side. (Look for a taped off section). On the tables you will find a trip handbook, please take one per family.

Looking for 3 parents to help with supervision at our annual field trip to the KC Symphony on Friday, February 5 from 8:00am-3:00pm. We can pay each volunteers entry to the Symphony, but lunch cost is on your own (we will be eating at the Legends after the Symphony). Please email Mrs. Erpelding at [email protected]. Today Free State Chamber Orchestra members auditioned for the Northeast Kansas District Honor Orchestra. These students spent months preparing audition excerpts, and I couldn't be more proud of them for all their effort and commitment.
